Referral and Treatment Process

Your Pathway to Care

Our goal is to make the referral and appointment process as smooth as possible. Please review the steps below to understand what to expect when accessing care at our clinic.

1. Request a Referral

A referral from your family physician or nurse practitioner is required to see one of our pain specialists. Book an appointment with your primary care provider to discuss your concerns and request a referral to our clinic.

Once your referral is received by fax, our referral process will begin.

2. Referral Received (Weeks 1–2)

Once your referral has been faxed to our office, it will be added to our referral queue. Our referral team will review the paperwork to ensure all required information has been provided.

If information is missing, such as recent imaging or supporting medical records, we may contact your primary care provider to request the additional documentation. This may affect processing times.

3. Medical Review (Weeks 2–3)

Once all required information has been received, your referral will be forwarded to our reviewing physician. They will assess your case and determine which specialist is best suited to address your specific needs.

4. Appointment Scheduling (Approximately Weeks 3–4)

Following the medical review, our office will contact you to arrange an appointment with the appropriate specialist.

If you no longer require an appointment or have decided not to proceed with our services, please notify us as soon as possible. This allows us to update our records, avoid unnecessary follow-up calls, and offer the appointment to another patient who may be waiting for care.

Please note that these timelines are estimates only. Processing times and appointment availability vary depending on referral volume, the completeness of your medical information, and the availability of each physician. Some specialists may have longer wait times.

5. Once Your Appointment Is Booked

Appointment Confirmation

You will receive a confirmation email with your appointment date, time, and the name of your specialist. The email will also include an initial consultation form that must be completed before your visit.

Preparing for Your Visit

Please complete your consultation form before arriving at the clinic. If you do not have access to a printer, you may complete the form at our office. In this case, please arrive 30 minutes before your scheduled appointment to allow sufficient time for completion.

Your Consultation

Your initial consultation will generally last approximately 30 minutes, depending on the physician. Your specialist will review your medical history, assess your concerns, and discuss appropriate treatment options.

In many cases, treatment may be performed during the same visit, when clinically appropriate and depending on the recommended treatment plan.

Appointment Reminders

As a courtesy, we will send an appointment reminder by email or telephone approximately three days before your scheduled visit.

Important Appointment Information

Cancellations and Rescheduling

If you are unable to attend your appointment, please contact our office as soon as possible. Many patients are waiting to see a specialist, and providing advance notice allows us to offer your appointment to another patient.

Late Arrivals

Please arrive on time for your scheduled appointment. Patients who arrive late may need to be rescheduled, depending on the physician's schedule and the time remaining for the consultation.

Children and Pets

For the comfort and safety of all patients, pets and unsupervised children are not permitted in the clinic. If you have any concerns or require special arrangements, please contact our office in advance.

Didn’t Receive Your Confirmation?

If you have not received an appointment confirmation by email or telephone, please contact our office by email so our team can assist you.

We look forward to working with you and supporting you on your journey toward better pain management and improved quality of life.

Please Note

Appointment Wait Times

Patients can generally expect approximately 4 weeks to receive an appointment, although wait times vary by physician. Some physicians may be booking 3 or more months in advance.

These timelines are estimates and may vary depending on referral volume, the completeness of the medical information provided, and physician availability.

Actual wait times may range from several weeks to a few months, depending on the specialist and appointment availability.
